As we roll out WaveWorks, we want to make sure you have everything you need to move requisitions forward smoothly. Below are important tips and interim steps to be aware of during this transition. If you need assistance at any point, please reach out to your Talent Acquisition Recruiter.
Positions and Position Codes
WaveWorks is hierarchy-based, so selecting the correct position code is essential when creating a requisition.
If you can't find a position or position code, submit a ServiceNow ticket or contact your Talent Acquisition Recruiter for help.
Job Descriptions
If a job description doesn't populate automatically, select "Staff Job Description – Missing." This keeps the requisition moving through approvals without delay.
After selecting that option, submit a ServiceNow ticket to request the correct description be added.
Hiring Freeze Questions
Before submitting your requisition for approval, include answers to the following questions in the Comment field or as an attachment:
- How long has the position been vacant, and why does it need to be filled now?
- What services will be impacted if this position is not filled?
- List all funding sources, percentage distribution, and the anticipated salary.
Approvers
Due to WaveWorks' hierarchy structure, some approvers may not have visibility into requisition or offer details by default. In the meantime, please add them as collaborators on the requisition and offer team.
A permanent solution is currently in development.
Hiring Manager vs. Line Manager Fields
When creating a requisition, the Hiring Manager field defaults to the person completing the form. On the offer, however, the system populates the Line Manager in the Hiring Manager field — this should reflect the new hire's direct supervisor.
If this information is incorrect, select "Save and Continue" and submit a ServiceNow ticket.
Hourly (Non-Exempt) Offers
For hourly positions, enter the hourly rate as the Budgeted Amount on the offer.
