Tropical Storm Gordon: University Closure Timekeeping Procedures

The university's campuses with the exception of Biloxi, have resumed normal hours of operation. We understand that many employees may still need to be away from work due to weather, continued closure of schools and or closure of other child care facilities. In this case and with the exception of Biloxi campus employees, vacation time should be used.

The following information is a reminder about timekeeping procedures for the emergency closure beginning at 4:00 p.m. on Tuesday, September 4. 

WHAT DOES THIS MEAN TO YOU? 

For all employees, exempt and non-exempt, Kronos will populate the pay code of "Emergency Closure" for Tuesday, September 4 at 4:00 p.m. This applies to staff employees who are categorized as either regular full-time or regular part-time with benefits. 

For non-exempt employees: 
•    For employees who did not work during the emergency closure, no action is needed. 
•    Employees who did work during the emergency closure should have clocked in and out via Kronos time clock or web punch. 
•    Employees who worked during the emergency closure and did not clock in or out should complete a time correction form to document hours worked. 
•    Timekeepers should use the time correction form to make adjustments to the employees Kronos timecard. 
•    If a non-exempt employee was required to work during the emergency closure, the employee will be paid two and one-half times (2½X) his or her regular rate for all hours worked during the emergency closing. 
•    Emergency closure pay is not used to calculate overtime pay. 
•    Emergency closure pay does not apply to students. 

For exempt employees no action is required regardless of whether you worked or did not work during the emergency closure.
