As part of the WaveWorks move to Oracle Cloud, new iPad time clocks will replace physical time clocks starting Friday, March 20, 2026.
Clock-in options
At go-live, employees may record time using one of three methods: iPad time clocks, the Web Clock on a computer, or mobile access to the Web Clock where permitted. Available methods may vary based on your role and department practices.
Facial authentication
iPad time clocks use facial authentication through CloudApper, a system separate from Oracle that works similarly to face unlock on a smartphone or banking app. It stores a mathematical template of certain facial features to verify identity — no images are saved or used for tracking, and all data is encrypted.
Facial authentication is optional and only required if you choose to use an iPad time clock. You may instead clock in via any desktop, laptop, or mobile device on the Tulane network. Opting out has no effect on your scheduling, pay, evaluations, or opportunities.
Setup sessions — week of March 16
If you plan to use an iPad time clock, complete a one-time facial authentication setup before go-live. Drop-in sessions are available throughout the week of March 16 — no registration needed. Just bring a photo ID; setup takes only a few minutes.

Supervisors play an important role in preparing their teams for the March 20 WaveWorks Time and Labor go-live. Please review the clocking methods available at go-live and help ensure employees understand their options.
Note: Please print and download the post-live flyer and post it outside the clock-in stations to ensure employees know where to go to complete facial authentication setup if they plan to use iPad time clocks.
Clocking Methods Available at Go-Live
At go-live on March 20, 2026, employees may use one of the following methods to clock in and out:
iPad Time Clocks (for teams currently using physical clocks)
Employees who choose to use iPad stations will use facial authentication to confirm identity at clock-in and clock-out. Those employees should complete their one-time facial authentication setup between March 16 and March 24.
Web Clock (computer)
Desk-based employees, or employees who choose not to complete facial authentication setup, may clock in and out using the Web Clock from a computer.
Mobile Access to the Web Clock (department-permitted)
Departments may allow employees to access the Web Clock through the mobile app. Employees approved for mobile use must enable location services on their device. Audit reports will be available to review clock-in and clock-out locations to support compliance and appropriate use.

How to Punch In and Punch Out (iPad Time Clock)
After completing your one-time facial authentication setup (if using iPad time clocks), you will use the new iPad time clock stations to record your work time. Follow the steps below when punching in or out.
Punch In and Punch Out: Step-by-Step
1. Tap the iPad screen and choose either “Punch In” or “Punch Out.”
2. Face the camera directly. Remove any hats, masks, or sunglasses so your face is fully visible.
3. Wait for the system to recognize you, then select “Regular Pay” or “Callback,” if applicable.
4. Wait until you see the confirmation message showing that the punch was recorded successfully.
Note for students: If you have more than one assignment, be sure to select the correct assignment before confirming.
Important to Know
If you choose not to use facial authentication, you may still clock in using the Web Clock (computer or mobile, if permitted). Please speak with your supervisor about the option that works best for your role.
