Temporary System Downtime (February  27 – March  20)

As Tulane prepares for the March 20 WaveWorks go‑live, we are entering a critical phase of the WaveWorks cut‑over process. Beginning February 27, Employee and Manager Self‑Service has moved to view‑only status to ensure data accuracy. Most transactions are temporarily paused, but essential operational requests can still be submitted through ServiceNow.

What this means

  • Employee and Manager Self-Service will be view-only now through March 20 when we go live with WaveWorks. During this time, our current Human Capital Management (HCM) system will not allow users to complete transactions.
  • Employees may still view and download historical pay slips.
  • Managers with open requisitions may continue to access and review applicants already in the system.
  • Job applicants will not be able to apply for positions through the Tulane Jobs site during this time. Departments actively recruiting should contact TUCareers@tulane.edu to discuss options for continuing searches during this period.
  • Employees may continue to enter time and submit time-off requests in Kronos with effective dates through March 19.

Transactions that may be submitted during the downtime window

While transactions are temporarily suspended in Employee and Manager Self‑Service, the following limited, operationally necessary transactions may be submitted using the ServiceNow request form:

  • Employee life events
  • Employee direct‑deposit changes (limited to cases involving fraud or confirmed security risk)
    Manager‑submitted terminations
  • Updates to an employee’s manager
  • Inquiries regarding One‑Time Payment (OTP) approval status
  • Requests for business‑critical hires (subject to review and approval)
  • All submissions will be reviewed to ensure they meet operationally critical criteria before being processed.

We recognize that this temporary downtime may require additional planning, and we appreciate your partnership and flexibility as we move through this important phase of the WaveWorks transition.
